Most event work falls into one of three patterns: a single chauffeur for the day with a fixed hourly rate and unlimited mileage inside Hampshire and Surrey, a fleet of pre-positioned cars at a venue for staggered departures, or a wedding shuttle that loops between two or three pickup points until the last guest is home. How far ahead should you book an event taxi?
For a standard evening out — a Guildford theatre, a Woking gig, a restaurant in Farnham — two to three days is comfortable and same-day is usually possible. For anything with a fixed civic footprint, work in weeks rather than days. Armed Forces Day in Aldershot, Victoria Day and the Farnborough International Airshow all close roads and move the legal drop-off points, so the useful part of the booking is not the car but the coordinator deciding where that car can actually stop. On those weekends the pickup point is agreed in writing before the day.
Group and delegation work needs the most lead time, and not because of vehicle supply. A roadshow with three venues, a corporate box with a strict arrival window, or a wedding with a shuttle pattern all require the timings to be sequenced backwards from the hard deadline. Vehicle choice, group size and where cars can legally wait
Party size decides the vehicle, but the venue decides the waiting plan. Most Hampshire and Surrey event sites have a marshalled drop-off zone that becomes a no-waiting zone the moment the event starts, so a car that drops at 19:00 cannot simply sit there until 22:30. Fares for delegation, corporate and group movements are quoted on logistics rather than published as a table, because vehicle class, waiting windows, driver hours and the number of legs change the figure far more than the mileage does.
